Hunterdon Business Services' Tips for Lowering Your Transcription Charges
When recording...
- Control background sounds. Keep background sounds such as shuffling paper, other conversations in the room, and/or music to a minimum; whenever possible, eliminate the sounds.
- Position the recording device for maximum coverage of those being recorded.
- Remind those being recorded to speak clearly and slowly and to keep their voices even.
When submitting...
- Provide the spelling of proper names used throughout the recording. Even if a proper name is common, pronunciation can be difficult to understand, and it cannot be clarified based on context.
- If recording constitutes notes from a meeting, for completeness, include a list of those present during the recording.
- If documenting an organizational meeting, include a list of the members with attendance information noted so it becomes part of the record.
More on submitting...
- Identify what needs to be transcribed. Sometimes only certain items on a recording require transcription. Identify the material requiring transcription with the time to exclude noted; if possible provide a description of the material that needs to be excluded from the transcript. This will avoid confusion and additional charges for material transcribed unnecessarily.
- Provide a copy of material read into the recording. Straight typing from printed or written material is faster than transcribing the same material.
After submitting...
- Provide additional information in a timely manner. If clarification or additional information is requested, provide the information promptly to avoid additional rush transcription charges and/or priority mail charges that may be incurred in order to meet your deadlines.
File Transfer Protocol (FTP) - We use it to obtain digital recordings to be transcribed!
Your digital recordings may be uploaded to our private, secure FTP site for transcription. On our secure FTP site, a password-protected client-specific folder is created. This folder is only accessible by Hunterdon Business Services personnel and the client; clients cannot access other clients' materials. Once the material is transcribed, the Microsoft Word document is either uploaded on the FTP site for retrieval by our client or the file is emailed directly to our client.
